How to Create a Cleaning Schedule from an Airbnb iCal Calendar

What an iCal feed can—and cannot—do

An iCal feed is a private calendar URL that exposes reservation dates to another compatible calendar tool. It is useful for reducing repetitive entry, but it is not a live command channel. The booking platform publishes changes and the receiving app checks the feed on its own schedule.

That delay matters most for same-day bookings, cancellations, and changed checkout dates. Use sync to build the routine schedule, then keep a manual escalation path for urgent changes.

Set up the feed step by step

The wording inside Airbnb can change, but the workflow is to find the listing calendar’s export or availability settings and copy its iCal link. Add the matching house in PlanAhead before connecting the feed.

1. Open the listing calendar and locate its export-calendar or iCal option.
2. Copy the private calendar link; do not copy the public listing page URL.
3. In PlanAhead, add or select the correct house and confirm its timezone.
4. Add the calendar link to that house and allow the first sync to finish.
5. Compare the next several checkout dates with the booking platform.
6. Set the cleaning timing and assign a responsible cleaner only after the dates look correct.

Review the first import

Check at least one normal reservation, one back-to-back stay if available, and any manually blocked dates. Calendar events sometimes use generic titles; focus on dates and the property they belong to rather than expecting full guest or reservation details.

If the feed is empty, verify that it is an exported iCal URL, that the listing has future reservations, and that the link has not been regenerated. Reconnect a replaced link rather than repeatedly creating duplicate properties.

Create a same-day safety routine

At the end of each day, review tomorrow’s checkout and check-in windows. Confirm who owns each turnover, how they enter, and whom they contact if the property is not ready. On the morning of a same-day turn, compare the operational schedule with the booking platform.
